In the global job market, your email is often the first impression you make. A well-written email signals professionalism, education, and attention to detail — before anyone has met you.

The 5-Part Structure

Every professional email follows the same structure:

1. Subject line — clear, specific, actionable 2. Salutation — how you open 3. Opening line — why you're writing 4. Body — the details 5. Closing — what you need + sign-off


1. Subject Lines That Get Opened

❌ "Question" / "Hi" / "Important" ✅ Specific and useful:

  • Meeting request: Project update — Thursday 3pm
  • Application: Marketing Manager position — Rahim Ahmed
  • Follow-up: Our conversation on 4 August
  • Invoice #1042 — payment due 15 August

Rule: if someone searched their inbox for this email in 6 months, would your subject line help them find it?


2. Salutations

⚠️ "Respected Sir/Madam" — avoid this in international contexts. It is standard in South Asian formal writing but sounds outdated to British, American, or European readers. Use Dear Sir/Madam instead.


3. Opening Lines

The first line states why you are writing — immediately, without preamble.

Introducing yourself:

  • I am writing to introduce myself — I am the new Marketing Executive at ABC Ltd.
  • My name is Rahim Ahmed and I am contacting you regarding...

Responding to something:

  • Thank you for your email of 3 August.
  • Following our conversation last week, I am writing to...
  • With reference to your advertisement in The Daily Star...

Making a request:

  • I am writing to request...
  • I would like to enquire about...
  • Could you please send me...

Never start with: "I hope this email finds you well." It has become a meaningless filler — skip it and get to the point.


4. Body — Useful Phrases

  • Could you send this before the end of the week?

Referring to documents:

  • Please see the attached report.
  • I have attached the invoice for your reference.

5. Closing Lines and Sign-offs

Meeting request:

Subject: Meeting request: Q3 budget review — week of 11 August

Hi Sarah,

Common Mistakes by Bangladeshi Professionals

বাংলাদেশি পেশাদারদের সাধারণ ভুল

  1. "Respected Sir" → Use "Dear Mr/Ms [Name]" or "Dear Sir/Madam"
  2. Over-long emails → One purpose per email, three paragraphs maximum
  3. No subject line or vague subject → Always specific: who, what, when
  4. "Please do the needful" → Specify exactly what you need: "Please send the report by Friday"
  5. "Kindly revert" → "Please reply" or "I look forward to your response"
  6. Starting every sentence with "I" → Vary: "The attached document..." / "As discussed..."
